2. Personal Data We Collect
- Name, contact details (email and phone) and address of the main guest;
- Booking details (dates, accommodation and number of guests);
- Billing details, such as a tax number, when provided;
- Vehicle registration, when provided;
- Name and nationality of every guest;
- For guests of foreign nationality, the details required by law to be reported to AIMA (the Portuguese Agency for Integration, Migration and Asylum): date and place of birth, type, number and issuing country of the identity document, and country of residence.
3. How We Collect Data
We collect data when you book, on our website or through booking platforms, and through the guest registration form (casaentrevales.portugalexplorer.pt/registo-hospedes), which should be completed before arrival. Guest registration data is stored encrypted and is only accessible to the data controller and to the company that manages the property on the controller’s behalf.
4. Purposes
- Managing bookings and stays;
- Complying with legal obligations, including reporting foreign guests to AIMA;
- Communicating with guests;
- Invoicing and accounting;
- Safety of people and property (CCTV in outdoor areas).
5. Legal Basis
- Performance of the accommodation contract;
- Compliance with a legal obligation;
- Legitimate interest, for CCTV;
- Consent, where applicable.
6. How Long We Keep Data
- Guest registration data is kept for 3 years after the departure date and then deleted automatically;
- Billing data is kept for the period required by tax law;
- CCTV footage is kept for a maximum of 30 days;
- Other data is kept only as long as needed for the purposes above and then securely deleted.
7. Your Rights
You may exercise the following rights free of charge:
- Access, rectification and erasure of your data;
- Restriction of and objection to processing;
- Data portability.
Please send requests to info@casaentrevales.portugalexplorer.pt. Erasure does not apply to data we are legally required to keep.
8. Sharing Data with Third Parties
We only share data in the following cases:
- With AIMA, through SIBA (the Portuguese accommodation reporting system), for guests of foreign nationality, as required by Law no. 23/2007 of 4 July;
- With Rui DaCruz Lda (Portugal Explorer brand), company no. 514339705, Rua da Ferreirinha, 75, 5050-261 Peso da Régua, Portugal, which manages the property, bookings and website on the controller’s behalf as a data processor;
- With booking platforms (Airbnb, Booking.com, Vrbo), when you book through them;
- With the website hosting provider, where data is stored;
- With other authorities, when required by law.
We never sell your data or use it for advertising.
9. CCTV
The outdoor areas of Casa entre Vales are covered by closed-circuit CCTV to protect guests and property. Footage is treated confidentially, kept for a maximum of 30 days and only accessible to authorised staff, in line with the GDPR.
There is no surveillance of any kind in guests’ private areas.
10. Complaints
You may lodge a complaint with the Portuguese data protection authority, CNPD, at www.cnpd.pt.
